We take your privacy seriously. Here's how ApplyWise handles your data.

Data Collection

ApplyWise collects the following types of data to provide its services:

  • Profile Information:
    • Automatically from Google Sign-In: Name, email, profile photo
    • You provide (optional): Phone, work experience, skills, education, address (via manual entry or CV upload)
  • Job Data: Job descriptions and postings you analyze or save for job matching and tracking.
  • Usage Data: Feature usage counts for managing your credit balance and tier limits.
  • Device Fingerprint: Privacy-friendly device identifier (browser info, screen resolution, timezone, GPU) used to prevent abuse of free tier credits. Hashed for privacy, stored for 30 days only.

How We Use Your Data

  • Generate personalized cover letters based on your profile and job descriptions
  • Analyze job match compatibility between your skills and job requirements
  • Extract CV data to populate your profile
  • Track your saved jobs and application statuses
  • Manage your account and credit balance
  • Prevent abuse of free tier through device fingerprinting

Your data is NEVER sold or shared with third parties for marketing purposes.

Data Storage

  • Local Storage: Jobs and profile are stored locally in browser IndexedDB (standard browser storage, NOT encrypted). Data is stored only on your device and protected by your browser's security model.
  • Cloud Sync (Automatic): When you sign in, your jobs, profile data, and related extension data are automatically synced to our cloud backend hosted on Google Firebase (HTTPS encryption in transit with TLS 1.2+, encrypted at rest by Google Cloud). This enables access across devices and backup of your data.
  • AI Processing: Data sent to Google's Gemini AI is processed to generate responses. Google controls how your data is used and retained according to their privacy policies (see links below).

Privacy Levels

ApplyWise offers 4 privacy levels for AI features:

  • None: All information sent to AI (no anonymization applied)
  • Basic: Removes your name, email, and phone number before sending to AI.
  • Enhanced: Also removes company names and specific project details.
  • Maximum: Removes all identifying information, leaving only general skills and experience levels.

Review Before Sending

All AI features show you exactly what data will be sent before processing. You can review and edit the information to ensure only what you're comfortable sharing is transmitted.

Your Rights

You have the right to:

  • Access: Export your data anytime from Account Settings
  • Correct: Edit your profile information
  • Delete: Clear local data, delete cloud-synced data, or request complete account deletion

Note: If you don't want data sent to AI, simply don't use AI features (CV Extraction, Cover Letter, Job Match). The Job Tracker feature works without AI.

Is ApplyWise really free to use?
Yes! ApplyWise offers a generous free tier that resets monthly. You get free CV extractions, cover letter generations, and job match analyses every month. The AI Chat and Job Tracker features are always unlimited and free.
How do credits work?
Each AI feature costs a certain number of credits: CV Extraction (1 credit), Cover Letter (2 credits), Job Match (1 credit). Free tier users get monthly credits that reset. You can also purchase additional credit packages that are valid for 12 months.
Is my data safe with ApplyWise?
Absolutely. Your data is stored locally by default (in browser IndexedDB) and encrypted when synced to the cloud via Firebase. We offer 4 privacy levels to control what's sent to AI, and you can review all data before it's processed. We never sell your data to third parties. Google controls how Gemini AI processes your data according to their privacy policies.
What AI powers ApplyWise?
ApplyWise uses Google's Gemini AI, one of the most advanced AI models available. It provides high-quality, contextual responses for cover letters and accurate job match analysis.
Can I use ApplyWise on any job site?
ApplyWise currently supports automatic job extraction on: JobNet.com.mm, MyJobs.com.mm, LinkedIn, JobsDB, and Indeed. On these sites, you can save jobs with one click and extract job details automatically. For other sites, you can still use the AI features by manually pasting job descriptions.
Do purchased credits expire?
Purchased credits are valid for 12 months from the date of purchase. This gives you plenty of time to use them at your own pace during your job search.
What happens to my expiry date if I purchase more credits?
Great news! When you purchase additional credits before your current credits expire, your expiry date is extended from your current expiry date (not reset). For example: if your credits expire on July 1st and you purchase more on March 1st, your new expiry will be 12 months from July 1st - you never lose validity time! If your credits have already expired, new purchases start fresh from the purchase date.
