1. What Data We Collect

ApplyWise collects only the data necessary to provide its job tracking and AI-powered career features. Below is a complete list of every type of data we collect:

1.1 Authentication Data (collected automatically upon sign-in)

• Google Account Information: Your name, email address, and profile photo URL — obtained through Google Sign-In (OAuth 2.0) when you choose to sign in.
• Firebase User ID: A unique identifier assigned to your account by Firebase Authentication.

1.2 Profile Data (provided voluntarily by you)

• Contact Details: Phone number, address, city, country.
• Professional Information: Work experience (job titles, companies, dates, descriptions), education (institutions, degrees, dates), skills, certifications, and career summary.
• CV/Resume Content: When you use the CV Extraction feature, the text content of your uploaded CV/resume is processed to populate your profile. The original PDF file is NOT stored on our servers — only the extracted text data is kept.

1.3 Job Data (collected from job listing pages you visit)

• Job Listing Information: Job title, company name, location, salary, job description, requirements, benefits, skills, employment type, and the URL of the job posting.
• Application Tracking Data: Application status (e.g., saved, applied, interview, offer, rejected), notes you add, dates, and deadline reminders you set.
• How It's Collected: When you click the "Save Job" button on a supported job site (JobNet, MyJobs, LinkedIn, JobsDB, Indeed), our content script reads the visible job listing information from the current web page. We only read the page when you explicitly trigger a save action — we do NOT passively monitor or scrape pages in the background.

1.4 Usage and Account Data (collected automatically)

• Feature Usage Counts: The number of times you use each AI feature (Cover Letter, CV Extraction, Job Match, CV Optimizer) — used to enforce free tier limits and deduct purchased credits.
• Credit Balance: Your purchased credit balance and expiration dates.
• Account Settings: Your preferences such as cloud sync on/off, privacy level, notification settings, and theme preference.

1.5 Device Fingerprint (collected automatically for abuse prevention)

• What We Collect: A hashed combination of browser user-agent string, screen resolution, timezone, installed languages, and GPU renderer information.
• Purpose: Solely to prevent abuse of free tier credits (e.g., creating multiple accounts for unlimited free usage).
• How It's Stored: The raw device attributes are combined and hashed into a single irreversible fingerprint string. We store only the hash — not the individual device attributes. The hash is automatically deleted after 30 days.

1.6 Web Browsing Activity

ApplyWise does NOT collect or monitor your web browsing activity. The extension's content scripts only run on specific supported job listing websites (listed in Section 5), and only read page content when you explicitly click the "Save Job" button. No page content is read passively, automatically, or in the background.

1.7 Data We Do NOT Collect

• We do NOT collect browsing history, cookies, or passwords.
• We do NOT track which websites you visit.
• We do NOT collect any data from pages outside supported job sites.
• We do NOT use analytics or tracking scripts (no Google Analytics, no Facebook Pixel, etc.).
• We do NOT collect health, financial, or sensitive personal data.
• We do NOT collect data for advertising purposes.

2. How We Use Your Data

Each type of data we collect is used for a specific purpose. We do not use your data for any purpose other than those listed below:

2.1 Core Job Tracking (no AI involved)

• Job Data: Saved and displayed in your personal job tracker for you to manage applications, set reminders, and track statuses.
• Profile Data: Stored so you don't have to re-enter your information each time you use a feature.

2.2 AI-Powered Features (only when you explicitly trigger them)

• Cover Letter Generation: Your profile data (name, experience, skills, education) and the job description are sent to Google Gemini AI to generate a personalized cover letter.
• Job Match Analysis: Your profile data and the job description are sent to Google Gemini AI to analyze compatibility and provide a match score.
• CV Extraction: The text content of your uploaded CV/resume is sent to Google Gemini AI to extract structured data (work experience, education, skills, etc.).
• CV Optimizer: Your profile data and multiple saved job descriptions are sent to Google Gemini AI to provide tailored career improvement recommendations.

Note: All AI features show you exactly what data will be sent before processing. You can review and modify the data before it is transmitted. If you don't want any data sent to AI, simply don't use AI features — the job tracker works fully without AI.

2.3 Account Management

• Authentication Data: Used to identify your account and secure access.
• Usage Counts & Credits: Used to enforce free tier limits and track purchased credit balances.
• Device Fingerprint: Used solely to prevent abuse of free tier (not used for tracking or advertising).

2.4 Notifications

• Application Reminders: We use the Chrome notifications permission to send you deadline reminders for job applications you've saved — only if you set a reminder.

3. Data Storage & Security

3.1 Local Storage (on your device)

• What's Stored Locally: Your saved jobs, profile data, and settings are stored in your browser's IndexedDB and Chrome extension storage.
• Security: Protected by your browser's built-in security model and your operating system's user account protections. Data is NOT separately encrypted by ApplyWise.
• Retention: Data persists until you clear it from the extension, uninstall the extension, or clear your browser data.

3.2 Cloud Storage (optional, user-controlled)

• Your Choice: When you first sign in, you choose whether to enable cloud sync. You can change this setting anytime.
• What's Stored in Cloud: If cloud sync is enabled — your saved jobs, profile data, settings, and usage data are synced to Google Firebase (Cloud Firestore database).
• Location: Data is stored in Google Cloud data centers. Firebase uses Google Cloud's global infrastructure.
• Security: All data is encrypted in transit using HTTPS with TLS 1.2+. All data is encrypted at rest by Google Cloud's default encryption. Access to your data requires your authenticated Firebase session.
• Retention: Cloud data is retained while your account is active. You can delete all cloud data anytime from Account Settings, or request complete account deletion via email.

3.3 AI Processing (transient, not stored by us)

• How It Works: When you use an AI feature, your data is sent from our secure Cloud Functions server (NOT directly from your browser) to Google Gemini AI via an authenticated API call.
• We Do Not Store AI Inputs/Outputs: ApplyWise does not log or store the prompts sent to AI or the responses received. The data passes through our server only for the duration of the API call.
• Google's Retention: Google Gemini API processes data according to Google's API Terms. Per Google's current API data usage policy, data sent via the paid API is not used to train Google's models.

3.4 Payment Data

• Handled Entirely by Stripe: If you purchase credits, your payment information (credit card number, billing address) is collected and processed entirely by Stripe. ApplyWise never sees, receives, or stores your payment card details.
• What We Store: Only the Stripe transaction ID and the number of credits purchased — for your transaction history.

3.5 Data Retention Summary

• Local Data: Until you clear it or uninstall the extension.
• Cloud Data: While your account is active. Deleted upon account deletion request.
• Device Fingerprint Hash: Automatically deleted after 30 days.
• Usage Records: Retained while your account is active (reset monthly for free tier).
• AI Processing Data: Not stored by ApplyWise. Transient only.
• Payment Records: Transaction ID and credit amount retained for your account history.

4. Data Sharing & Third Parties

ApplyWise shares your data only with the following third-party services, only for the purposes described below, and only to the extent necessary to provide the service:

4.1 Google Gemini AI (AI Processing)

• Data Shared: Your profile information (name, experience, skills, education) and job descriptions — only when you explicitly use an AI feature (Cover Letter, Job Match, CV Extraction, CV Optimizer).
• Purpose: To generate AI-powered career content (cover letters, match analyses, extracted CV data, career recommendations).
• Data Minimization: ApplyWise offers configurable privacy levels (Basic, Enhanced, Maximum) that automatically remove personal identifiers before sending data to AI.

4.2 Google Firebase (Authentication & Cloud Storage)

• Data Shared: Your Google account information (name, email, profile photo) for authentication; your saved jobs, profile data, usage data, and settings if you enable cloud sync.
• Purpose: User authentication (sign-in/sign-out), cloud data storage and sync across devices, and serverless Cloud Functions for secure backend operations.
• Firebase Services Used: Firebase Authentication, Cloud Firestore (database), Cloud Functions, and Firebase Hosting (for our landing page).
• Google's Privacy: Firebase Privacy and Security

4.3 Stripe (Payment Processing)

• Data Shared: Your payment card details and billing information — entered directly into Stripe's secure payment form. ApplyWise does NOT handle or see your card details.
• Purpose: To process credit purchases securely.
• When: Only when you choose to purchase credits. No payment data is shared if you only use the free tier.

4.4 No Other Third Parties

• We do NOT share data with advertisers, data brokers, or marketing platforms.
• We do NOT sell or rent your personal data to anyone.
• We do NOT embed third-party analytics or tracking services in the extension.
• The only third parties that receive your data are Google (Firebase + Gemini AI) and Stripe (payment), as described above.

5. Chrome Extension Permissions

ApplyWise requests the following Chrome browser permissions. Each permission is explained below:

• storage: Store your saved jobs, profile data, and settings locally in the browser extension storage.
• tabs: Detect when you navigate to a supported job site (JobNet, MyJobs, LinkedIn, JobsDB, Indeed) so the extension can offer to save the job listing.
• activeTab: Read the content of the currently active tab when you click "Save Job" — to extract job listing information from the page.
• scripting: Inject content scripts into supported job site pages to enable the "Save Job" button overlay and job data extraction.
• notifications: Send you application deadline reminders that you set for saved jobs.
• contextMenus: Add a right-click menu option to quickly save a job listing.
• alarms: Schedule application deadline reminders to trigger at the correct time.
• identity: Enable Google Sign-In for account authentication.
• sidePanel: Display the ApplyWise side panel interface in Chrome's side panel.

Host Permissions

ApplyWise has access to the following job listing websites only:

• jobnet.com.mm — to extract job listings from JobNet Myanmar
• myjobs.com.mm — to extract job listings from MyJobs Myanmar
• linkedin.com — to extract job listings from LinkedIn
• jobsdb.com — to extract job listings from JobsDB
• indeed.com — to extract job listings from Indeed

ApplyWise can ONLY read pages on these specific job sites. It cannot access any other websites. Content scripts only run on job listing pages of these sites.

6. Privacy Controls

6.1 AI Privacy Levels

ApplyWise offers 4 configurable privacy levels for AI features (changeable in Settings):

• None: All your profile information is sent to AI (no anonymization).
• Basic: Your name, email, and phone number are automatically removed before sending to AI.
• Enhanced: Additionally removes company names and specific project details.
• Maximum: Removes all personally identifying information, sending only general skills and experience levels.

6.2 Review Before Sending

All AI features display a preview of exactly what data will be sent to the AI before processing. You can review and edit the content before confirming.

6.3 Cloud Sync Control

You choose whether your data is synced to the cloud or kept only on your device. This can be changed anytime in Account Settings.

7. Your Rights

You have the following rights regarding your data:

• Access: View and export all your data from Account Settings at any time.
• Correction: Edit your profile information at any time.
• Deletion: Delete your local data (clear from extension), delete your cloud data (from Account Settings), or request complete account deletion by emailing us.
• Data Portability: Export your data in standard format from Account Settings.
• Withdraw Consent: You can stop using AI features at any time. You can disable cloud sync at any time. You can delete your account at any time.
• Opt-Out of AI: The job tracker works fully without AI. If you prefer not to send any data to AI, simply don't use AI features (Cover Letter, Job Match, CV Extraction, CV Optimizer).

8. Compliance

GDPR (EU Users)

• Legal Basis: We process your data based on:
  • Consent — You explicitly consent when signing in and accepting this privacy policy.
  • Contractual Necessity — Processing required to provide the service you signed up for.
• Your Rights: Access, rectification, erasure, data portability, restriction of processing, and withdrawal of consent — all available through Account Settings or by contacting us.
• Data Retention: We retain your data while your account is active. You can delete your account and all associated data at any time.

CCPA (California Users)

• Do Not Sell: ApplyWise does NOT sell your personal information to any third parties.
• Right to Know: You can request a full accounting of what data we collect about you.
• Right to Delete: You can request deletion of your personal information.
• Non-Discrimination: We will not discriminate against you for exercising any of your privacy rights.

EU AI Act Transparency

• AI Classification: ApplyWise is a "limited risk" AI system (job search assistant), not classified as "high-risk".
• Transparency: We clearly disclose when content is AI-generated (cover letters, job match analyses, CV extraction results, career recommendations).
• Human Oversight: You review and control all AI-generated content before use. AI output is never sent or published without your explicit action.

9. Changes to This Policy

We may update this privacy policy from time to time. When we make significant changes, we will update the "Last updated" date below. We encourage you to review this policy periodically.
